All vehicle rentals are governed by a comprehensive Rental Agreement, which will be provided at the time of booking confirmation or vehicle collection. This document outlines the specific terms, conditions, insurance coverage, applicable charges, and your responsibilities for the rental. In the event of any discrepancies between these Terms and the Rental Agreement, the Rental Agreement will prevail.
Eligibility Criteria
Renting a vehicle with us requires:
- To rent a vehicle from Car Hire in Dronfield, you must be at least 21 years of age, though age restrictions may differ based on the vehicle type, with extra fees applicable for drivers under 25. A valid driving licence suitable for the vehicle class is required, along with proof of identification and current address. You must also provide valid payment details and a security deposit, as well as meet any further conditions outlined in the Rental Agreement.
3. Reservations and Payments
- Reservations for car hire can be completed via our website, over the phone, or directly at our Dronfield office. To confirm your booking, a deposit may be necessary. Full payment, alongside a security deposit, is generally required at the time of vehicle pickup. All charges are listed in British Pounds (£) and include VAT where applicable. We accept major credit and debit cards, with transactions securely handled by trusted payment processors.
Vehicle Pickup and Drop-off
- At the time of collection, it is important to conduct a thorough inspection of the vehicle and report any pre-existing damage without delay. A vehicle condition report will be generated and must be signed by you. The vehicle should be returned in the condition it was received, taking into account normal wear and tear. Any new damage will be evaluated and you will be billed accordingly. Please return the vehicle with the same fuel level as when you collected it; refueling charges will apply if the fuel level is lower. Late returns may result in additional fees, so notify us promptly if you expect to return the vehicle late. You will be held responsible for any parking fines, traffic violations, or other charges incurred during the rental period, plus an administrative fee.
Insurance and Liability Terms

Additional insurance options may be offered to lower your potential financial liability. Review these options thoughtfully. You are liable for damage or loss up to the insurance excess amount unless you have additional coverage. Any damage resulting from negligence or misuse remains your responsibility, irrespective of insurance.
Cancellation and Modifications
Cancellation and amendment policies differ based on the type of booking and the notice period provided. For precise information, please consult your booking confirmation or Rental Agreement. Keep in mind that late cancellations or failure to show up may incur additional charges.
Prohibited Activities
Prohibited uses of the rental vehicle:
- The vehicle must not be used for any illegal activities. This includes racing, off-roading, or other risky driving practices. Transporting hazardous materials is prohibited. Sub-letting the vehicle or allowing unauthorized drivers is not allowed. Driving under the influence of alcohol or drugs is strictly forbidden. The vehicle should only be used for its intended purposes, and all passenger and weight limits must be adhered to. Driving outside of the agreed geographical area requires prior approval.
Breach of these terms may lead to rental termination and extra fees.
8. Liability Restrictions
To the fullest extent allowed by English and Welsh law, Car Hire in Dronfield is not responsible for any indirect, incidental, or consequential damages, including loss of profits, data, or business, resulting from your use of our services. Our total liability for any claims will not exceed the amount paid for your rental in the past 12 months. This limitation does not apply to liability for death or personal injury due to negligence or fraud.

These Terms are regulated by the laws of England and Wales. Disputes will fall under the exclusive jurisdiction of the relevant courts in this region.
